We’re excited to roll out a much-requested feature designed to help you bill more efficiently and protect your profits: Instant Bills.

You can now easily charge clients for additional work that isn’t covered in the original, agreed-upon scope. This is your go-to tool for managing ad-hoc requests and preventing scope creep.

 

Why Use an Instant Bill?

Instead of creating an entirely new proposal for a small change, an Instant Bill allows you to:

  • Bill Quickly: Generate and send a bill for extra work in under a minute.
  • Maintain Professionalism: Formalize ad-hoc requests so they don’t get lost in email chains.
  • Ensure You Get Paid: Create a clear, billable record for every task that falls outside the initial agreement.

 

You’re in Control of the Approval Process

 

Every client relationship is different, so we’ve given you the flexibility to choose how you want to bill for extra work.

  • For Pre-Approved Work: Bill Instantly If you’ve already discussed the extra task and cost with your client, you can create the bill and immediately charge their payment method on file. It’s efficient and straightforward.
  • For New Requests: Request Client Approval To ensure everyone is on the same page, you can create an Instant Bill and send it for client approval. They receive a notification to review the scope and cost of the additional work. Once they approve it, the payment can be processed. This is the best way to ensure transparency and avoid surprises.

 

How to Use Instant Bills Effectively

  1. Acknowledge the Request: When a client asks for something extra, acknowledge it and let them know you’ll send over an Instant Bill for them to approve.
  2. Create with Clear Descriptions: In the bill, clearly describe the task. For example, instead of “Extra work,” write “Addition of ‘Our Team’ page with 5 staff profiles.”
  3. Link to the Original Scope: If possible, reference the main project or proposal it relates to.
  4. Track the Payment: Monitor the status of your Instant Bill—from sent to approved to paid—all within your main payment dashboard.
